Confidential Secretary (Operations)

Based at our Corporate Office in Singapore, we are looking for a passionate and energetic individual to join us as Confidential Secretary.


Job Responsibilities:

The Confidential Secretary reports directly to the SVP Operations. He/she is required to ensure the smooth, efficient and effective day-to-day administrative functions of the department as relates to work-flow and on-time delivery of all projects.


The Role:

  • Maintain an accurate calendar / schedule of appointments for the SVP Operations. This may include synchronization of electronic diary, and those of the team and external clients. This includes review sessions and reporting schedule.
  • Co-ordinate and independently plan all travel itineraries (i.e. flight bookings, visa arrangements, hotel accommodation, local ground / car transfers, etc). This involves multiple destinations and frequent changes.
  • Handle all telephone calls / queries in accordance with the company’s / department’s guidelines (i.e. answering calls promptly, professionally and courteously). Taking all phone messages accurately, forwarding calls as necessary and from time to time, he/she may be required to act as a representative to independently handle calls according to pre-agreed guidelines stipulated by the SVP Operations.
  • Arrange conference calls, video conferences or data conferences accordingly for the SVP Operations and the Hotel Operations team. He/she may be required to sit-in on such meetings to take minutes and assist in keeping track of project deadlines for the SVP Operations.
  • Assist with the preparation of presentations (PowerPoint), proposals and client deliverables, i.e. taking instructions from other individuals or service departments as necessary, to ensure that project timelines and deliverables are met as outlined by the SVP Operations.
  • Ad hoc projects may be determined by the SVP Operations, e.g. to assist with research, support and information gathering from identified sources, to prepare simple statistical reports combining basic information for collation and presentation purposes.
  • Monitor and co-ordinate work with internal parties and external third-party suppliers at the request of the SVP Operations.
  • Coordinate and consolidate reports and projects for Operations department as a whole.

The Person:

  • Minimum 5 years of relevant experience in a similar capacity.
  • Diploma in any discipline or professional secretarial certification/training.
  • Attention to details and good follow through.
  • Able to handle highly confidential information with discreet.
  • Excellent Oral & Written Communication Skills.
  • Ability to communicate in Mandarin will be an added advantage. (To liaise with Mandarin speaking associates).
  • Good interpersonal skills.
  • Able to multi task and work under pressure.
  • Pro-active, meticulous and highly organized.
  • Proficient in all MS Office Application.
